Use Managed Files

Managed files allow content administrators to collect related information about a file (title, image, description) in one place and quickly find the file again if it needs to be replaced. Content managers are encouraged to give managed files good URL aliases and use those aliases when linking to the file elsewhere to prevent the link from changing if the file name changes. Managed files can be used for two main purposes:

  1. To add a link to a file in the menu (See Menu Mastery).
  2. To add a file with an accompanying title, image, and/or description to a list of files (e.g. a list of PDF-based publications).

Managed files automatically forward to the attached file when someone attempts to view the content.

To Edit a Managed File

If your managed file is part of a list, you can click the edit link next to each file listed. If the managed file is not in a list, you can find it by doing the following:

  1. Click on "My Content" in your shortcut bar.
  2. Find your site and click 'view content'
  3. This will list all published content that is part of site. Find the managed file in the table.
  4. In the "Operations" (far-right) column, click the link to edit.
